AI campaign approval: review the version that will go live

3 min read

Approving an AI-assisted campaign means reviewing the version that will actually go live. A good draft can still target the wrong audience, use an expired offer, or send at an unsuitable time. Separate creation from release: inspect the message and its settings, confirm the intended action, and reopen the review if a consequential detail changes afterward.

Review the audience and timing first

Confirm the selected segment, exclusions, channel permissions, language versions, and scheduled time zone. A beautifully written message is still wrong if it reaches the wrong people or arrives after the offer ends.

In Sendvio, inspect the campaign or automation configuration directly. Do not rely only on a conversational summary of the changes. For an automation, review entry conditions, delays, and stopping rules as part of the same approval.

Approve the actual release, not the idea

Write the final decision in terms another teammate can verify: this campaign, this audience, these exclusions, these language versions, and this scheduled time. Include the offer and its deadline. “The email looks good” approves only part of what will happen when it is sent.

For an automation, include the entry event, delays, re-entry behavior as configured, and the conditions that stop later messages. A person may enter after the original approval date, so the rules need to remain appropriate beyond the first preview. Check whether any time-limited offer inside the journey will become stale.

Assign a final owner even when several people review parts of the work. One person can verify facts while another reviews language or design, but someone needs to confirm that all required checks refer to the same final version. Otherwise, individually approved pieces can still form an unapproved whole.

Check the promise against the destination

Verify product facts, prices, discount eligibility, expiry, and links. Preview missing and long personalization values. Send a controlled test and inspect the mobile experience before approving the final action.

Make sure the version being approved includes the latest corrections. A copy change made after a screenshot was reviewed can alter meaning, length, or offer details. Keep one clear final version rather than several almost-identical drafts with uncertain status.

Know which changes reopen approval

A typo correction and a new discount are different changes. Any edit to eligibility, price, deadline, destination, subscription handling, or activation state should reopen the affected checks. A layout change also needs a new preview if it could hide terms or alter the main action.

Define a short set of release-blocking issues: the wrong audience, an unverified material claim, a broken primary link, a failed offer, or an incomplete required language version. Do not waive one because the campaign is already scheduled. Correct the issue or change the release plan through the controls actually available.

After activation, confirm the resulting status and intended schedule. Know how to pause future sends where supported, and remember that a message already delivered cannot reliably be recalled. That makes pre-launch review valuable even when the system allows later edits. If something goes wrong, first establish what actually happened and who was affected.

Confirm the intended action explicitly

Connected Sendvio actions require user confirmation. Read whether the action creates, edits, schedules, or activates something, and confirm only the action you intend. After activation, an automation follows its configured rules; it does not wait for manual approval of every customer message.

Record who owns post-launch monitoring and what would cause the campaign or journey to be paused. AI assistance can make production faster, but responsibility for the customer experience remains concrete: someone should know what went live, why it was approved, and how its first results will be reviewed.

Set a monitoring window appropriate to the campaign and name the person watching it. Review delivery problems, unexpected audience behavior, offer failures, and customer questions before judging sales performance. Record the final decision and any follow-up action so the next launch benefits from the experience instead of repeating the same uncertainty.
